Industrial services company turns an AI vision into working payroll and reporting automation

A fast-growing, multi-site industrial equipment repair services company. Outcome verified

The problem

A company with more than forty service shops wanted generative AI to fix real back-office pain. Finance reviewed dozens of shop P&Ls by hand, payroll re-keyed hours from acquired shops' timekeeping systems, and technicians assembled long test reports manually. It had the vision and the data but no engineers, and because each acquired shop brought its own legacy systems, one business process ran on half a dozen data formats.

Why it mattered

Manual processing meant slow variance detection, payroll errors and late customer reports, and the AI ambition would otherwise stay a slide deck.

What we did

Rather than one big AI platform project, Vizius embedded two half-time engineers under the company's fractional AI officer and shipped small production systems in sequence: P&L variance analysis, then a payroll processor that normalizes each legacy system's output and reconciles it against the payroll provider, then a generator that turns emailed technician test sheets into a finished report.

What changed

The report generator runs in production, and the payroll processor consolidates the acquired shops' timekeeping into one payroll run; a September 2026 parallel run matched payroll data for all 25 sites. A three-month pilot became a multi-year retainer.

How we did it

Back-Office AI Automation

"Where are our people re-keying data that a machine should be moving?"

We engineer automations for hours-heavy work such as re-keying, reporting, payroll and document routing, put them into production, and keep them running.
